TRAINING LAUNCH & COMMS EVENT
SUMMARY
Our client Havas Lynx is one of the UK’s top PR & Communications agencies.
The event was an internal training and development programme launch, involving all staff members, external stakeholders and keynote speakers. The aim of the event was to produce an experience that embodied the organisation’s culture and values and also had a seamless technical delivery.
The brief for Make Happen was to look after event management, stakeholder management & complex requirements for audience engagement, flexible room planning, creative stage & video screen/backdrop design (24ft x 8ft), display of branded content, creative AV, social/networking/seating spaces.
APPROACH
Working closely with Havas Lynx, we planned, produced and executed the event at the amazing Victoria Warehouse in Manchester. The event took place between 2 main spaces: a conference room and a reception room.
The conference space was transformed by designing a highly visual stage, surrounded by LED screens, with atmospheric content that changed throughout the event. Staging, vision, sound and lighting was designed to ensure the event flowed with ease. Projector screens were also placed on stage with additional, smaller screens placed around the room to ensure everyone could see the content throughout the event. Everything was designed to enhance and complement the industrial feel of the room.
The reception space was transformed into an informal dining and dancing room, using warm lighting, looped video content and live entertainment. Victoria Warehouse’s in-house catering team provided all F&B throughout the event.
A key component of the event, was to integrate all content and technical aspects of the event and create a schedule that ensured a precise delivery.
RESULTS
300 staff members, guest speakers and stakeholders attended the event. As they approached the venue in double decker buses, Havas Lynx branded content was displayed in the large screen outside Victoria Warehouse. Once they arrived, guests enjoyed refreshments and background music. The presentations started at 14:30 sharp and all content on projector screens and LED screens were cued throughout the event seamlessly. 7 speakers exchanged places on stage to deliver great presentations and audience engagement and Q&A’s took place after each session. Lighting was also cued to enhance videos and key moments throughout the event.
Once the conference concluded, guests were ushered to the reception space to enjoy and evening of networking, music, drinks and great food.
Overall, the event was a big success, delivered seamlessly, effectively, on time and achieving a great internal programme launch for Havas Lynx.
